How do we define success for your role?

Executive and diary management

•Own complex and frequently changing diaries across multiple time zones, protecting time for the Executives’ highest priorities and resolving competing demands with sound judgement.
•Act as a thoughtful point of prioritisation and coordination, ensuring requests are assessed, prioritised and responded to appropriately rather than simply scheduled.
•Prepare agenda’s, papers, briefing materials, and meeting logistics.
•Monitor forward commitments, deadlines and recurring obligations, highlighting pressure points early and proposing practical solutions.

Travel and logistics

•Plan and manage complex international travel for the Executives, including itineraries, accommodation, ground transport and supporting documentation.
•Anticipate the Executives’ working requirements while travelling, allowing sensible contingency and ensuring plans reflect their priorities and preferences.
•Maintain clear, accurate itineraries and coordinate changes calmly when plans move at short notice.
•Manage logistics for leadership meetings and team events

Executive coordination

•Build a deep understanding of the Executives’ portfolios, priorities, stakeholders and individual working styles so that support is informed, proactive and consistent.
•Act as a trusted point of contact between the Executives and internal and external stakeholders, handling sensitive matters with discretion, diplomacy and good judgement.
•Maintain an effective action and decision follow-up process, following up with owners appropriately and ensuring commitments are closed out.
•Create and maintain clear working files, contact information, forward plans and other executive office records.
•Maintain confidentiality at all times

Operational and project support

•Lead or coordinate defined small-scale projects and improvement activities on behalf of the Executives, taking responsibility for planning, coordination and follow-through within an agreed scope.
•Track key deliverables, deadlines and action items
•Capture decisions and actions where required, confirm ownership and timing, and monitor follow-through.
•Support reporting process and  provide concise status updates and recommendations.•  Prepare briefing notes, agendas, speaking points, presentations, correspondence and other high-quality Word and PowerPoint materials.
•Support activities such as leadership events, stakeholder programmes, priority initiatives, organisational changes, team planning or process improvements.
•Use initiative to resolve routine delivery issues, escalating material risks or decisions promptly and clearly.

Success Profile

The successful Executive Assistant is highly organized, proactive, detail-oriented, and comfortable working with senior executives in a fast-paced global environment. They anticipate needs, exercise sound judgment, manage competing priorities, and serve as a trusted partner to the executive.

Your experience and education

•Substantial experience supporting C-suite or executive committee members, or equivalent senior leaders, in a complex, international organisation.
•Demonstrable experience managing complex diaries, international travel and senior-level meetings across multiple time zones.
•Experience coordinating governance or leadership processes and producing high-quality meeting and briefing materials.
•Experience owning small projects or workstreams, coordinating multiple contributors and tracking delivery through to completion.
•Advanced capability in Microsoft Outlook, Word, PowerPoint and Teams, with the confidence to learn and use other digital tools.

Skills and behaviours

•Exceptional organisation, attention to detail and forward planning, combined with the ability to retain sight of the bigger picture.
•Excellent written and spoken English, with the ability to draft concise, accurate and appropriately toned communications.
•The ability to build trusted relationships with senior stakeholders across cultures, geographies and professional backgrounds.
•High levels of discretion, integrity and reliability when handling confidential or sensitive information.
•Curiosity and initiative, with a natural tendency to anticipate needs, connect information and improve how work gets done.
•An adaptable, collaborative professional who  builds effective working relationships across different personalities, cultures, and ways of working.

Desirable

•Experience in professional services, a global membership organisation or another complex matrix environment.
•Experience supporting global functional or service-line leaders.
•Practical project coordination or project management training.

Global A&A leadership and management teams; the wider Global A&A function; colleagues across the Global Office; leaders and teams in member firms; external advisers, suppliers and other senior stakeholders.

Role parameters

•The role will require some flexibility outside standard local working hours to support the Executives’ diaries and time-critical priorities. This should be managed reasonably and with appropriate planning.
•Occasional international travel may be required.
•The scope of support may evolve in line with the Executives’ portfolios and agreed Global A&A priorities.

The expected base salary range for this role is $53,000 to $88,000 annually, based on skills, experience, location, and qualifications.
