Job description
Zippy was founded with one mission: to make getting a loan for a manufactured home simple, fast, and fully online. We believe modern manufactured homes are affordable, well-built, eco-friendly, and stylish, but finding a lender who understands this market can be challenging. That’s why Zippy focuses exclusively on manufactured home loans, offering a seamless, digital experience.
Headquartered in Dallas, TX, with an office in Tempe, AZ, Zippy provides home loans and insurance to manufactured home buyers throughout the United States. Our remote-first team is spread across cities like Dallas, Houston, Knoxville, Omaha, Philadelphia, Phoenix, and several other states and cities. Backed by institutional investors, we offer competitive pay, stock options, and excellent benefits. At Zippy, we pride ourselves on our commitment to finance happiness through the power of home. We are dedicated to enhancing consumers' financial outcomes and tackling the affordable housing crisis through cutting-edge technology and innovative solutions.
THE ROLE
At Zippy, we believe everyone deserves access to affordable, high-quality housing, but outdated lending processes have made homeownership increasingly difficult to achieve. We’re on a mission to change that by making financing for manufactured homes faster, simpler, and more accessible than ever before.
As an Executive Assistant and Office Administrator at Zippy, you’ll help our founders, Ben, CEO, and Jordan, President, stay organized, focused, and prepared. Your primary responsibility will be providing proactive executive support, i.e: managing calendars, coordinating schedules and travel, protecting their time, and handling the administrative details and logistics that keep their days running smoothly.
Based in our Dallas office, you’ll also keep the workplace stocked, organized, and ready for employees and visitors, and serve as a point person for local events and in-person gatherings. This is a hands-on role for someone who anticipates needs, takes ownership, and enjoys making things easier for the people around them.
This is an in-office role.
WHAT YOU’LL DO
· Support our founders. Manage complex calendars for Ben and Jordan, prioritize requests, resolve conflicts, and create space for focused work and key business priorities.
· Protect their time. Serve as a thoughtful gatekeeper and point of contact, using sound judgment to route requests, coordinate access, and flag urgent matters.
· Keep meetings organized. Schedule internal and external meetings across time zones, coordinate attendees and logistics, and ensure relevant agendas and materials are ready in advance.
· Stay ahead of the day. Anticipate upcoming needs, communicate schedule changes, track administrative follow-ups, and help ensure commitments and deadlines don’t fall through the cracks.
· Own travel and logistics. Coordinate business travel, accommodations, transportation, and itineraries, and adapt quickly when plans change.
· Handle administrative details. Prepare and organize documents, draft routine correspondence, maintain records, and coordinate expense reports and reimbursements.
· Keep the Dallas office running. Monitor and replenish supplies, snacks, and beverages; keep shared spaces and meeting rooms organized; and handle day-to-day office needs.
· Coordinate office services. Work with vendors, building management, and internal teams on deliveries, maintenance requests, office access, and other workplace logistics.
· Welcome employees and guests. Coordinate visits, meeting spaces, catering, and other details to create a professional and welcoming office experience.
· Support events. Serve as a coordination point for team gatherings, leadership meetings, and in-person events, managing logistics, vendors, setup, and cleanup in partnership with the relevant teams.
· Improve how things get done. Build simple systems and routines that make executive support and office operations more organized and reliable, and pitch in on administrative projects as needed.
WHAT WE’RE LOOKING FOR
· 3+ years of experience in executive assistance, administrative support, or a related role, including experience supporting senior leaders or founders.
· Excellent organization and attention to detail, with experience managing busy calendars, competing priorities, travel, and meeting logistics.
· Strong judgment, discretion, and professionalism when handling confidential information and interacting with employees, partners, and guests.
· Clear, thoughtful written and verbal communication, including the confidence to manage scheduling requests and set boundaries professionally.
· A proactive approach: you anticipate needs, solve problems, and follow through without needing reminders.
· Comfort working in a fast-paced environment where priorities and schedules can change quickly.
· A hands-on, service-oriented mindset and a willingness to handle both executive support and everyday office tasks.
· Proficiency with calendar, email, document, and collaboration tools, and the ability to learn new systems quickly.
· Ability to work in person at our Dallas office. Experience coordinating office operations, vendors, or events is a plus.
At Zippy, we believe in empowering our team to own their work, move quickly, and build experiences that make financing simpler for everyone. If you enjoy bringing order to a busy day and helping leaders and teams do their best work, we’d love to hear from you.
