Job description

Overview:

Join a team that plays an important role in bringing commercial loans from approval to closing. As a Document Preparation Specialist within Commercial Document Preparation Department, you will review approved commercial loans, complete required due diligence, prepare legal loan documentation, and work closely with internal lending partners to ensure each transaction is accurate, complete, and ready to close.

This is primarily an internally facing role. You will not typically communicate directly with the bank's commercial customers. Instead, your primary “customers” will be internal partners, including M&T Bank Relationship Managers and other loan team members who work directly with clients. The Commercial Document Preparation team supports lending activity across M&T Bank's footprint.

This is a great opportunity for someone who is organized, detail-oriented, eager to learn, and comfortable managing multiple priorities. Previous banking or commercial lending experience is helpful, but it is not required. College graduates, or candidates with administrative, operations, scheduling, back-office, or other detail-focused experience can also bring highly transferable skills to this role.

What You’ll Do:

Once a commercial loan is approved, you will help move it toward closing by managing the documentation preparation process. You will:

•Review commercial loan approvals and document preparation requests to analyze the borrower structure, approved terms, collateral, and documentation requirements.
•Order and review required due diligence, including public record searches, property searches, judgment results, and other supporting documentation, to identify liens, ownership concerns, collateral issues, or other items requiring resolution or clarification.
•Prepare legal loan documentation that accurately reflects the approved credit terms, borrower and guarantor structure, collateral requirements, Credit Policy, and applicable regulatory requirements.
•Support a wide variety of commercial lending transactions, including lines of credit and term loans, with collateral that may include commercial real estate, business assets, company vehicles, life insurance, and other assets.
•Work on transactions that can range from approximately $10,000 to several million dollars.
•Communicate with Relationship Managers, loan teams, underwriters, internal counsel, and other internal partners to obtain missing information, clarify approval or documentation requirements, and address issues identified during document preparation.
•Finalize accurate and complete documentation packages and deliver them to the appropriate internal partners so the loan can move forward to closing and execution.
•Independently manage and prioritize your own pipeline of loans based on volume, complexity, and deadlines.
•Complete routine and moderately complex document preparation requests while receiving training and exposure to increasingly complex transactions as knowledge and experience develop.
•Maintain accurate electronic working files and records for completed document preparation requests.
•Complete quality reviews to help ensure loan documents are accurate, complete, and consistent with the approved credit terms, and prepared in accordance with the applicable documentation standards, policies, and procedures.
•Understand and adhere to the Company’s risk and regulatory standards, policies, and controls in accordance with the Company’s Risk Appetite. Identify risk-related issues requiring escalation to management.
•Maintain M&T internal control standards, including timely implementation of internal and external audit points and resolution of issues raised by external regulators, as applicable.
•Promote an environment that supports belonging and reflects the M&T Bank brand.
•Complete other related duties as assigned.

What Will Help You Succeed:

We are looking for someone who is motivated to learn and enjoys work that requires organization, accuracy, problem-solving, and managing multiple priorities. Successful candidates will bring:

•A strong desire to learn and develop an understanding of commercial lending, loan documentation, and due diligence.
•Excellent organizational and prioritization skills, with the ability to determine what needs immediate attention while continuing to manage longer-term work.
•Strong attention to detail and the ability to work accurately within established procedures and deadlines.
•The ability to independently manage your workload while also collaborating effectively with a broader team.
•Strong written and verbal communication skills, particularly when requesting information or explaining documentation needs to internal business partners.
•Comfort working in a fast-paced environment where workload and priorities can fluctuate based on loan volume.
•Experience in administrative support, scheduling, operations, back-office functions, document preparation, or other detail-oriented roles is beneficial.
•Previous commercial loan documentation or due diligence experience is a plus, but prior banking experience is not required.
•Experience with OneNote and other Microsoft products is helpful. Exposure to nCino or Expere is also beneficial but not required.
•Recent college graduates and candidates interested in building a career in banking, lending operations, or commercial loan documentation are encouraged to apply.

Team & Career Growth:

You will join a Commercial Document Preparation organization of approximately 20 preparation specialists located across New York, Baltimore, and Vermont. Although each specialist is responsible for managing their own pipeline of work, you will be part of a broader team with opportunities to collaborate, learn from experienced colleagues, and build expertise in commercial lending. There is also a clear path for continued development. It typically takes about a year to fully learn the role and gain confidence working across different types of loans, collateral, documentation, and due diligence requirements. As you build expertise and master the position, there are opportunities to progress to the next level and eventually develop into a subject matter expert. For employees interested in leadership, there are also potential career paths into Team Leader and, over time, management positions.

Education and Experience Required:

•Associate’s degree, or equivalent work experience.
•1 years of work experience.

Education and Experience Preferred:

•Bachelor’s degree.
•Commercial lending, loan documentation, due diligence, legal documentation, or paralegal experience.

Work Location & Work Model:

•This is a hybrid position requiring four days per week in the office.

Schedule/Required Availability:

•Monday-Friday, 7:30am-4:00pm.
•Flexible start times are available between 7:00am and 8:30am, with corresponding end times.
