Job description

Nanopath is developing a first-in-class in vitro diagnostics platform to transform how diseases are diagnosed. We aim to replace lengthy molecular testing workflows by bringing rapid, high-quality diagnostics closer to the patient. Our mission is to improve patient outcomes – starting with women – through a purpose-built platform that delivers actionable results within a single office visit.

The company is headquartered at The Engine, the premier tough technology incubator in the Kendall Square ecosystem. We are collectively committed to health equity and the design of solutions for underserved populations and low-resource settings. Corporate sustainability – both environmental and social – is at the forefront of our decision making.

About the Role

Nanopath is seeking a highly organized, detail-oriented, and proactive Business Operations Associate to support day-to-day business and administrative operations across the company. This is a cross-functional role supporting clinical operations, accounting, procurement, recruiting, and general administration. The ideal candidate enjoys managing multiple priorities, coordinating with different teams, and ensuring that important tasks are completed accurately and efficiently.

As Nanopath continues to grow, this individual will play an important role in maintaining smooth daily operations, improving administrative processes, and supporting the company's evolving operational needs.

Key Responsibilities

•Clinical Operations Support: Coordinate clinical study supplies, inventory tracking, and shipment logistics; prepare and maintain study-related documentation; lead the preparation and assembly of clinical study kits; and maintain clinical study trackers, including enrollment and invoices
•Accounting & Procurement: Create and track purchase orders, coordinate vendor onboarding, assist with grant documentation tracking, and communicate with vendors and internal teams to resolve routine purchasing and payment questions
•Recruiting & Onboarding: Coordinate candidate interviews, prepare interview agendas, support candidate visit logistics and assist with new-hire onboarding
•General Business Administration: Coordinate company meetings, events, and employee activities; order and maintain office supplies and equipment; support routine office operations; and serve as an administrative resource for employees
•Process Improvement & Documentation: Assist in developing and maintaining operational procedures and workflows, identify opportunities to improve operational efficiency, and support the implementation of new processes and administrative systems as the company grows.
•External-Facing Support: Assist with the preparation and distribution of quarterly reports for investors and stakeholders, support relationship management with external partners and key contacts, and help coordinate PR activities such as announcements and communications.

Required Qualifications

•Bachelor's degree
•1–3 years of experience in business operations, administration, operations coordination, or a related role. Scientific or medtech background is a plus.
•Excellent organizational skills and strong attention to detail.
•Ability to manage multiple priorities, track deadlines, and follow through on tasks independently.
•Strong written and verbal communication skills.
•Comfortable learning new software platforms and administrative systems.
•Proactive, resourceful, and willing to take ownership of a wide variety of responsibilities.
•Ability to work effectively in a fast-paced, evolving startup environment.
•Ability to work onsite.

Preferred Qualifications

•Experience working in a biotechnology, medical device, healthcare, or other regulated environment.
•Experience using project management, procurement, or HR systems.
•Experience maintaining SOPs, trackers, and operational documentation.
•Experience supporting clinical studies or laboratory operations.

What We're Looking For

We're looking for someone who enjoys keeping things organized, solving problems, and making life easier for the teams around them. The successful candidate will be comfortable handling both routine administrative responsibilities and new challenges as they arise. This role is ideal for someone who is naturally proactive, follows through without needing reminders, and takes pride in helping a growing organization operate efficiently.
